How do I set up an email reminder to a subset of invited members?

You can only filter email reminders based on the participation status of members on that survey (for example, Invited, but not started and/or Incomplete). If you want to distribute a reminder to particular members, you must create an email invitation using a new survey. This invitation will function as a reminder to the original survey; when you are editing the invitation, you will insert a link to the original survey.

Example

You have invited all active members in Survey A and you want to set up a reminder for members with a value of Male for the Gender profile variable. 

Detailed Steps

Create an activity link with an Identity profile variable

1. Open the activity.
   For the example above, open Survey A.
2. In the left-hand menu, click Distribute.
3. Click New Link.
4. Select the Identity Variable check box.
5. From the Identity Variable list, select Email.
6. Click Generate Live Link.
7. Copy the Live link.
8. Replace the string [%insert value%] with the email pipe [%Email%].
   Example:
   Original live link:
   https://example.vcilabs.com/c/a/UniqueSurveyId?_i=[%insert value%]
   Must be changed to:
   https://example.vcilabs.com/c/a/UniqueSurveyId?_i=[%Email%]

Create an invitation in a new survey (which will function as a reminder to the original survey)

1. On the Home page or the Activities page, click New Project.
   The Choose Project dialog appears.
2. In the Activities section, under Survey, click Create.
3. Edit the survey name. Use a descriptive name as possible.
   For example: Survey A Reminder

Create an email invitation

1. In the left-hand menu, click Distribute.
2. Click New Invitation.
   The new email invitation opens and is ready for editing. 
3. Give the email invitation a descriptive name.
4. Change the subject as required.
5. In the email content, use the activity link with Identity profile variable that we created from the steps above.
   These are the items that you need to modify:
   • Click here to start hyperlink 
     Click Source to switch to HTML view, and search for the following:

     <br /> 
     

   • [%ActivityLink%] pipe as seen in the rich text editor 
     
     In both places, replace [%ActivityLink%] with the edited link https://example.vcilabs.com/c/a/UniqueSurveyId?_i=[%Email%] 
6. Edit the body text as required.
7. On the Recipients tab, from the Recipients menu, select Create a new filter.
8. Add the filter conditions to include the members who will receive the email.
   For the example above, the filter conditions will be:

9. At the bottom, beside Members matching conditions, click Refresh member count to confirm the number of members to be included.
   
10. Click Save.
11. Click Send Now.

Note:

• Close the the Survey A Reminder activity as soon as the invitation has been completely sent.  
• Test emails do not contain live links or piped-in variables. You can use the test link to verify that the link will work with a valid email, or perform a live test with a member matching the criteria.
